Working on Campus

Some of you have now resumed on-campus work. if you have not yet made this arrangement but would like to do so, please connect to your unit administrative manager to be added to the schedule. Please also recall that you need to complete UBC’s mandatory training module, Preventing COVID-19 Infection in the Workplace as well as the Faculty’s Safety Plan Compliance course.

For those of you who are working on campus, I would like to draw your attention to a few UBC updates. Safety and Risk Services (SRS) has developed a document outlining procedures for working outside your regular campus building during COVID-19. SRS is also developing mobile app for faculty and staff who are working in isolation while on campus. I will update you when the app is operational.

Working On-campus: Mandatory Training Courses

Faculty or staff working on-site in Neville Scarfe or Ponderosa Commons North are required to complete two mandatory, online training courses:

  1. Faculty of Education Safety Plan Compliance Course
  2. Preventing COVID-19 Infection in the Workplace

Safety Planning for Reopening

The Vice-Provost and Associate Vice-President, Enrolment and Academic Facilities, has advised that a COVID-19 Safety Planning Steering Committee is developing a website of resources to support faculties and units in creating safety plans for reopening. These plans will, in turn, be reviewed by the Steering Committee and the UBC Executive. There will also be a mandatory training module for all faculty and staff to outline updated procedures.

Access to Scarfe and Ponderosa Buildings

Katy Ellsworth and David Sequeira are creating a careful plan of access that will allow the scheduled retrieval of essential items necessary for teaching online. As you know, it is critically important to mitigate any possible spread of the virus through inadvertent contact with people or surfaces, so careful planning is necessary, involving the fewest possible entries. Please be assured that the plan will be completed as soon as possible and that you will be notified about the details via this bulletin and by your department, unit, or school administrative managers.

Accessing the Campus

With fewer people on campus, and in order to protect the safety of those who remain on campus, Campus Security is enhancing security procedures and processes on campus. I strongly recommend that you not come to campus at this time. For those of you who have prior approval to be on campus, please have your UBC ID on display or ready to show.

Building Closures

Please note that the closures announced yesterday are in effect to reduce the chance of transmission of the virus. Current information indicates that healthy-seeming people can act as unknowing carriers of the disease, allowing it to spread quickly. Closing the buildings has the added benefit of protecting the security of our equipment and sensitive information stored onsite. We recognize the inconvenience this may cause and appreciate your cooperation.

  • The Belkin Gallery is closed to the public until Tuesday, April 7.

Work in progress

  • Building Closure – The Building Operations Facilities Managers are working with the Deans’ Offices, VP Research Office, Campus Security and Secure Access to limit access to buildings while still allowing critical/crucial activities to be maintained. The Deans’ make the final decision on building access. The primary challenge is that most buildings have multiple users with different needs and they must consulted.
  • Facilities Operations – All Facilities departments are adjusting to a rotating schedule to minimize the number of staff on campus while ensuring crucial services are maintained. The staffing adjustments are being made in consultation with Academic, HR and Finance partners to maintain alignment with campus needs and to ensure the health of our staff and community. Building Operations rolled out the schedule changes today. Energy & Water Services will commence on Monday.

Campus Mail
Due to the temporary closures of UBC buildings, Campus Mail is offering on-site pick up from 8:00 am – 3:30 pm at their Vancouver location for mail and parcels that they can’t deliver.

To pick up your mail or parcel, please visit them at the University Community Services building at 2329 West Mall.

Sincere thanks to all of you for transitioning your work away from campus. As both the Scarfe Building and the Education-related areas of Ponderosa Oak and Cedar are now not in use, there is a needless load being placed on Building Operations and Campus Security. To support our colleagues in these units, I have asked them to lock both spaces and restrict card access for the time being. To clarify, your access card will not unlock the buildings or any of the interior spaces.

This decision will not only assist our colleagues in Building Operations and Campus Security, it will help safeguard equipment and confidential materials that are stored in Education spaces.
