The goal is create a sustainable, easier, and less expensive way to produce documents in the Faculty. Please take the time to visit the Xerox website.
Faculty and staff may request print orders or graphic design services via Xerox’s web-to-print portal.
Printing, Photocopying & Copyright Approval
UBC has decided not to sign a license with Access Copyright. UBC will be under greater scrutiny from Access Copyright and copyright owners generally and it is critical that UBC faculty members, staff and students continue to be aware of, and comply with, UBC’s Copyright Guidelines and applicable copyright laws.
We encourage all faculty members and staff to visit the Copyright website to become familiar with Canada’s copyright requirements and their obligations as users of copyrighted materials.
Print Options
Option 1 – Xerox’s Web-to-Print Portal
Print orders can be placed from anywhere, 24/7, then picked up from the Teacher Education Office (TEO) reception desk (Room 103, main floor Neville Scarfe Building) during TEO office hours (Mon. – Fri. 8:30 a.m. – 4:30 p.m.).
Note: Xerox does not provide copyright approval — materials must be approved prior to completing an online print request. For copyright approval, please see Option 2.

How To Order Through the Web-to-Print Portal
Steps for placing an order: (download instructions with screen shots)
- Register and complete your profile at the Xerox web-to-print portal
Please note: if you complete your profile with an off-campus delivery address, courier charges will apply. Designated pickup/delivery addresses (Please read about Deliveries in the next section below). You may change your address and/or update your profile at any time. - Complete the online request form (you need to obtain a speedchart number from your department).
Note: Printsys will be upgraded to a new version on December 17, 2015. The new version should be user friendly and easy to navigate, but if you do need assistance using the new site, please call 604-221-4244. - Send your file (2 options):

Upload your file through the Xerox web-to-print portal.
- Send any hardcopies or electronic devices (i.e., USB, DVD, CD, etc.) via Campus Mail to:

When you register and complete your profile at the Xerox web-to-print portal please include the Faculty delivery address below. Courier charges will apply to off-campus deliveries.
Delivery Times
Deliveries to Scarfe are via Campus Mail and leave Xerox at 7:30 a.m., 12:30 p.m. & 2 p.m. daily (arrive Scarfe at approximately 9 a.m., 2 p.m. & 3:30 p.m.).
Deliveries to War Memorial Gym are via regular Campus Mail (once daily).

Xerox has assigned the Faculty a Document Adviser to look after day-to-day high-volume printing needs, commercial print procurement, and graphic design services. The Document Adviser can also assist with the initial planning stages of a project through the entire production process to delivery.

Secure Process & Confidentiality
- Onsite storage in locked room at Xerox site 301-5923 Berton Ave (Wesbrook Mall & 16th)
- Access requires two Xerox employees to enter with separate keys
- Print jobs shipped in boxes sealed with Confidential Tape. Each package shrink wrapped so any attempt at tampering is immediately visible.

Will the Faculty continue to absorb the cost of printing for course syllabi & exams?
Yes, but you must indicate on your Xerox order that your print request is for a course syllabus or exam. Please ensure that you check-off the appropriate box when completing your print request through the Xerox portal.
Keep a copy of your print order as proof of receipt and forward to your dept/unit administrator for processing.

Option 2 – UBC Bookstore (copyright approval)
Course packs prepared and printed by the UBC Bookstore prior to August 31, 2011, were produced under the Access Copyright interim tariff and can be retained.
Any future course packs should continue to be produced through the UBC Bookstore. Please note, however, that additional lead time might be necessary to obtain copyright approvals after September 1, 2011. For assistance, please contact the UBC Bookstore.
You will require a Journal Voucher (JV) for billing purposes. Some departments may have set up a standing order with the Bookstore; please check with your department.
